Comm.care now tracks multiple NDIS funding periods — here's what that means for your Roadmap
Since May 2025, NDIA has released NDIS funding in structured periods — usually quarterly — rather than as a single annual lump sum. If you've been feeling the admin pressure of managing four budget windows per participant instead of one, you're not imagining it.
We've been thinking about the same problem from a software side. Today we're shipping an update that directly addresses it: Comm.care Roadmaps now support multiple consecutive funding periods, each with its own dates, budget, and expenditure tracking.
Here's what changed, why it matters, and how to use it.
Why one funding period wasn't enough
The Comm.care Roadmap has always supported a funding period — a date range and budget that sit alongside your services. That was a good fit when most NDIS participants received their full annual budget at the start of a plan.
It's not enough anymore.
With structured quarterly periods now the norm for most participants on new or reassessed plans, a single flat period means you can only answer "are we on budget?" for the whole plan. You can't see whether Q1 ran hot, whether Q2 is on track, or whether a participant is at risk of underspending this quarter while appearing fine annually.
That's a real gap. And it's the one this update closes.

What's new in the Roadmap
The Funding Periods section now sits under Financial in the Roadmap modal. For NDIS Roadmaps, it replaces the single funding period with a list of consecutive periods — each a row with its own dates, budget, and progress bars.
Each period tracks independently

| Start / End Date | The dates this period covers. Periods are always continuous — no gaps, no overlaps. |
| Budget | The funding allocated for this specific period. You set this. |
| Actual Expenditure | Total spend from progress notes delivered within this period. Comm.care calculates and updates this each night. |
| Budget progress bar | How much of the period budget remains. |
| Time progress bar | How much of the period is left. |
Every progress note counts towards exactly one period — matched by the service delivery date — so the expenditure figures mean something specific, not just a running total.
Period states at a glance
When you open a saved Roadmap, each row is colour-coded:
- Grey — past period
- Light yellow — current period (today falls within these dates)
- White — future period
You can see immediately where you are in the plan timeline without doing any mental arithmetic.
Adding and removing periods
To add a period: Click Add in the Funding Periods section. Comm.care splits the timeline — you set the end date for the current period, and the new period automatically starts the following day. Set a budget and you're done. No gaps, no manual date matching.
To remove a period: Click Remove on any row. The adjacent periods merge to keep the timeline continuous. The Remove button is disabled when only one period remains — a Roadmap always keeps at least one.
Dates are linked: if you edit the end date of one period, the start date of the next period updates automatically to maintain continuity.
Caseload filters now key off the current period
The Budget Status and "This Funding Period" filters on your Circle dashboard have been updated to evaluate against the current period — not the whole plan. A Roadmap with no active current period drops out of those filters, so your views stay accurate as participants move through their quarterly cycles.
What happens to existing Roadmaps
Nothing breaks. Roadmaps created before this update will show the Funding Periods section with just an Add button — Comm.care won't create a period automatically or change any existing data. When you're ready to start tracking period budgets on an older Roadmap, click Add and go from there.
How to get started
Log in to Comm.care, open any NDIS participant's Circle, and edit their Roadmap. The Funding Periods section is under Financial.
If you're setting up periods for the first time, start with the current quarter. Set the start and end dates to match the participant's current NDIA funding period, add the budget, and save. Comm.care will start attributing progress notes to the period from that night's recalculation.
